Checking in a customer with the Scan button

When a guest arrives with a reservation, you check them in by scanning the QR code on their ticket. Any staff role can do this, from any screen in the app.

  1. Tap the gold Scan button in the middle of the bottom tab bar. It is available on every screen, for any staff role.

  2. Point the camera at the customer's ticket QR code. The code is shown in the customer's SunEasy app or in their emailed confirmation.

  3. A confirmation card opens automatically. A valid scan checks the guest in immediately — the card is the receipt. It is titled Checked in and shows the guest's name, phone number (tap to call), date or dates, source (SunEasy or Internal), the price with any coupon or Pearl discount, the sunbed count and numbers, and any notes.

  4. If cash is still owed, collect it from the guest and tap Mark as Paid. This button is shown instead of a check-in button when the reservation is in Pending Cash status.

  5. Tap Close when you are done. The scan itself is the check-in, so the card the Scan button opens never asks you to confirm anything further.

    note

A manual Check In button exists only when you open a booking another way before scanning it — for example from My Bookings on Home. Even there it appears only for a same-day booking that has not been used yet, and is hidden entirely if your business enforces QR-only check-in.

  6. If a code cannot be checked in, a small card appears instead of the confirmation and explains why. An already-used ticket is shown calmly with a green check — the guest is simply already in. A ticket that is not for today, has expired or is past its dates, or was not found shows as a red error. The card includes the ticket's valid dates so you can see the reason at a glance.
